What are policy types and how do I create one?

Policy types are the different kinds of leave that collaborators can request, such as Vacation, Sick leave, or Remote work. Each type groups one or more policies with their own balance rules and cycles; for example, the Vacation type can include the Vacation Argentina and Vacation Mexico policies. When you create it, you also classify it with a Category and an Activity type to organize and segment leave in reports.

    1. Go to admin.humand.co and open Time off → Policy types.
    2. Click New policy type.
Policy types tab with the New policy type button

In General information, fill in the following fields:

    Field Description
Name The name collaborators see when requesting time off.
Color Identifies this policy type in the time off calendar.
Icon (optional) Appears next to the policy type name in the app.

  • In Policy type settings, choose how it is measured and how it is classified:

    1. In Unit, select Days or Hours. If you choose hours, also check How to Set Up an Hour-Based Policy Type?
    2. In Category, select the option that best describes the leave.
List of categories available for a policy type

The available categories are: Vacation, Marriage, Maternity, Paternity, Adoption, Bereavement, Blood donation, Work accident, Disability/Illness, Breastfeeding, Exam, Suspensions, Remote work, and Other.

The Unit and Category fields are required. The category is used for reports and segmentation: it doesn't change balance calculations, cycles, or approval rules.

  • The Activity type indicates whether the collaborator is working during the leave and, if not, whether it is paid. It has three options:

    Activity type What it means
Paid non-work activity The collaborator doesn't work and is paid. For example, vacation or illness.
Unpaid non-work activity The collaborator doesn't work and isn't paid. For example, a suspension.
Employment activity The collaborator is working, for example, remotely. Employment activities are considered paid.

For almost every category, the activity type is filled in automatically and can't be changed:

    Category Activity type
    Suspensions Unpaid non-work activity
    Remote work Employment activity
Other You choose one of the 3 options.
Vacation, Marriage, Maternity, Paternity, Adoption, Bereavement, Blood donation, Work accident, Disability/Illness, Breastfeeding, and Exam Paid non-work activity
Activity type set automatically based on the Exam category

If you choose the Other category, the Activity type field appears and you must select one of the three options.

  • In Visibility in calendar, decide whether the name of the leave is shown to other collaborators:

    Option Description
Private The policy name is hidden from all collaborators.
Public The policy name is visible to all collaborators.

Then click Save. The policy type is now available for you to create policies within it.

  • From Policy types, click a type to see its details, including the assigned category and activity type. To change it, click the ⋮ menu on the card and select Edit.

The Unit can't be changed after the policy type is created. If you change the category or the activity type of an existing type, requests that were already created are not modified.

The policy type name is what collaborators see in the app. The name of each policy (for example, Vacation Argentina) is not visible to collaborators.

Once the type is created, the next step is to create its policies. To do so, check How do I set up a Vacation and Leave Policy?
