How do I create an evaluation cycle?

An evaluation cycle is a space to provide feedback to your employees on their job performance and for them to self-evaluate themselves, formally documenting the evaluation on their performance.

To create a new evaluation cycle you have to:

1. Log in to Humand Admin
2. On the left menu go to Performance > Evaluation Cycles
3. Click on New Evaluation Cycle

4. Then you will have to follow these steps:

  • Set the name of the new cycle and select the employees to be evaluated.



    You can evaluate all contributors or select them specifically by using filters, according to the segmentations created in your community.

  • The direction indicates who will evaluate the employee. All the cycles contemplate by default the evaluation by direct manager (downward review). The possible options are:

    • Downward review: leaders give feedback to their collaborators.
    • Self review: collaborator can evaluate themselves. 
    • Upward review: upward reviews give employees the opportunity to help their leaders grow and develop their skills.
    • Peer evaluation: peer evaluations will be written by other collaborators within the organization. You can use this type of assessment to help test takers improve their collaboration skills.
    • External review: the evaluations will be carried out by people outside the organization. Use this type of assessment to help assesses improve their collaboration skills with outsiders-



      The evaluation modality can be only with a form, where just an evaluation form is completed, or also a summary of the evaluated collaborator can be added.



      From Add to cycle you can add the other types of evaluations: self review, upward and peer evaluation.

  • All evaluation cycles include the downward direction. The employee's direct manager is the default evaluator for this direction of evaluation.



    From here you will have to:

    1. Select the form template to be filled in by the collaborator's direct manager. If you do not see a template to select, it is because you have not yet created one. To do so, go to the templates tab in the Performance module.
    2. Select the visibility of the manager in relation to other directions of evaluation. You can set that the boss can see the evaluations of other directions at any time or that the boss can see the evaluations of other directions only at the delivery stage.

  • If you have previously added a self review to the cycle so that collaborators can evaluate their performance, you must select the template form they will use to complete it.

  • Peer evaluations provide employees with the opportunity to evaluate those peer employees in the organization.



    From here you will have to set up the evaluators selection:

    1. If they will be selected by the direct boss of the evaluated
    2. If they will be selected by the administrators

    After creating the evaluation cycle, the selection of evaluators must be carried out.



    Once in the selection configuration, from the “Evaluated” tab we can assign who will evaluate each user.



  • Upward reviews give employees the opportunity to help their leaders grow and develop their skills.



    From here you will have to choose how the employee's evaluation will be shared with the leader:

    1. If it will be shared with the reviewer name visible.
    2. If it will be shared anonymously. 

  • You can enable or disable the possibility for collaborators to provide ratings as part of their reviews.

    In order to calculate the weighted score of each evaluated person, the sum of the percentage of the questions must be 100%.

  • Verify that the review cycle configuration is correct. The evaluators are assigned automatically considering the direct managers configured in the profiles of the collaborators. Verify that all of the information is up to date.



    If the evaluation is downward or upward, the direct managers configured in the profiles are taken into account. Therefore, it is important that this information is completed and updated.

    Those collaborators who do not have a direct manager configured will not be evaluated nor will they be able to evaluate their superiors, but they will be able to perform self reviews if they were configured.



    By clicking on the number of users who do not have a direct manager you will be able to see who they are, enter their profiles and assign them.



    After finishing the validation, you can click on Finish


6. And that's it! You have successfully set up a performance evaluation cycle for your community.
