Within the Onboarding module, community administrators can create processes. Each process will consist of steps, where each step will be a set of tasks. Processes can be assigned manually or automatically based on segmentation.
To create a new process within the Onboarding module, follow the steps below:
1. Log in to Humand Admin.
2. Go to the Onboarding section.
3. Click on "+ New process".
3. Here you will need to complete the following sections:
- In this section, you need to fill out the basic information of the process:
◦ Name (required): name of the process shown to collaborators.
◦ Description (optional): brief description shown to collaborators.
Steps will be groupings of tasks triggered at a time chosen by the admin user. To create a new step, click on "+ New step".
Each step will be a set of actions and tasks triggered at a specific time. Within this tab, you can specify the name of the step and when you want it to start. There are 3 options:
• Contract start date
• Before the contract start date
• After the contract start date
Additionally, you can activate notifications about the step to be sent to collaborators or direct managers. After configuring the step, click on "Save" to complete the creation.
Next, we can create actions within the step. Actions will be the objects that make up each step of the onboarding, and they can be custom tasks or questionnaires.
When creating a custom task or a survet, you can perform the following actions:• Add a cover image
• Assign a responsible person to the task (collaborator or direct manager)
• Add a description
• Attach files
• Set due dates and reminders for the task
• Configure task dependencies (the action you're creating cannot be performed until a previous action is completed)
When creating a survey, a page will open where you can add questions and sections within it.
You can add questions of the following types:
• Text
• Single selection
• Multiple selection
• Rating
• File
• Autofill
• No response
- The third step is to select who will need to complete the created process. You can choose:
- Individual selection: by first and last name.
- Selection based on segmentation: specify the desired segmentation, and all people belonging to it will be assigned.
- All collaborators: the process will reach all collaborators.
- Additionally, selections can be combined.
- In this section, you will review all the content and configuration of the process to confirm its creation. Once the review is confirmed, click the "Activate" button, and you're done! The process has been created.
Once the process is created, you will have the option to:
- Edit it
- Pause it
- Assign responsible
- Duplicate it
- View the report
- Delete it
