How do I create a new onboarding process?

Within the Onboarding module, community administrators can create processes. Each process is made up of steps, and each step consists of a set of tasks. Processes can be assigned either manually or automatically based on segmentation.

To create a new process in the Onboarding module, follow these steps:

1. Log in to Humand Admin.

2. Go to the Onboarding section.

3. Click on "+ New process".

3. Here you’ll need to complete the following sections:

  • In this section, fill in the basic information for the process:

    ◦ Name (required): the name of the process that will be shown to employees.

    ◦ Description (optional): a brief description that will be shown to employees.

  • Steps are groups of tasks that will be triggered at a time chosen by the admin user. To create a new step, click on "+ New step".

Each step is a set of actions and tasks that will be triggered at a specific time. In this tab, you can set the step name and when you want it to start. There are 3 options:

    • Contract start date
    • Before contract start date
    • After contract start date

You can also enable notifications to be sent to employees or direct managers when a step is about to start. After configuring the step, click "Save" to finish creating it.

Next, you can create actions within the step. The available action types are:

No matter which action type you choose, you can also: add a cover image, assign a responsible person (employee or direct manager), add a description, attach files, set due dates and reminders, and set up task dependencies (the action you’re creating can’t be completed until another action is finished).

  • The third step is to select who will need to complete the process you’ve created. You can choose:

    • Individual selection: by first and last name.
    • Selection by segmentation: select the desired segment, and everyone in that segment will be assigned.
    • All employees: the process will be assigned to all employees.
    • You can also combine these selections.

  • In this section, you’ll review all the content and settings for the process to confirm its creation. Once you’ve reviewed everything, click the "Activate" button and you’re done! The process has been created.

Once the process is created, you’ll have the option to:

  • Edit it
  • Pause it
  • Duplicate it
  • Assign responsible people
  • View the report
  • Delete it
