How does the Public Absence Calendar work and how do you set it up?

The Public Absence Calendar lets all employees see who is on vacation or absent within the Vacations and Leave module.
Here’s how to set it up and view the calendar:
  • To turn on the calendar, you need to:

    1. Go to admin.humand.co > Apps.
    2. In the “Vacations and Leave” mini app, click the settings gear.

    3. Turn the “Public Absence Calendar” option on or off.

      • It’s enabled by default.
      • If you turn it off, the calendar will no longer be visible to employees.
  • The calendar is available on both web and mobile in the module: Vacations and Leave > Personal Space Calendar

    Only requests with “Approved” status are shown.

    Features include:

    • Search by employee name (Web and Mobile).
    • Request filter to reduce visual clutter (Web).
  • The level of detail shown depends on the Calendar Visibility setting for each policy type.

    Where do I set this?

    Go to admin.humand.co > Vacations and Leave > Policy Types.

    When you create or edit a policy, you can choose if it will be:

    • Public
    • Private

    What does each user see?

    For the user who made the request:

    • They always see full details: Name + Policy Type + Period.

    For others (coworkers, managers, and admins):

    • If the policy is Public: they see Name, Policy Type (e.g., “Vacation”), and Period.
    • If the policy is Private: they only see the employee’s name and the label “Absent”, keeping the specific reason private.

    The employee will still appear as absent. The only difference is the level of detail shown.

This feature improves internal visibility and team planning.
