You can upload and distribute documents in bulk (pay slips, contracts, etc.) directly from Humand, without relying on external scripts. The system automatically identifies which collaborator each file belongs to and distributes each document to the right place in just a few steps.
The file can be up to 100 MB. Two formats are supported: a ZIP file with multiple PDFs (one file per collaborator) or a combined PDF (a single PDF with all pages together). For the combined PDF, Humand automatically splits each section and generates an individual PDF for each collaborator.
-
Go to Humand Admin → Personal documents → Multiple document upload.
First, choose how to identify each collaborator under How will you identify your users?:
Option Description The user is in the file name The system uses the file name to identify the collaborator. By default, the identifier goes in the first position, separated by "#". If you need a different order or separator, adjust it in Advanced settings. The user is in the PDF Humand searches for the collaborator's identifier within the content of each page of the PDF. The identifier is in another PDF field Select a custom field (e.g., SSN, ID number) and Humand will search for it within the PDF content to assign the document automatically. Then, under Upload the file, upload the ZIP file or combined PDF and click Continue.
-
Under Document name, set how the document will be named for each collaborator:
- Keep the name: uses the original file name.
- Customize name: set a Prefix (optional), a Separator character, and a Period or reference. Humand builds the final name and shows it in the Name preview before you continue.
You can also select a Document type (optional) to categorize the upload.
- Select the Destination folder in Personal documents where the files will be saved for all identified collaborators, and click Continue.
-
Before distributing, set the final options:
- Send notifications: collaborators receive a notification when their document is available.
- Request signature: each collaborator must sign the document to complete the process.
- Enable signature in disagreement: the collaborator can indicate that they are signing in disagreement with the document's content.
- On which page does the signature go?: choose First page or Last page. If the document has only one page, both options place the signature on that page.
If you requested a signature, click Signature location, drag Sign onto the page to place it wherever you want, and click Confirm location. The status changes to Defined and you can continue.
-
On Review the summary, the system shows the folder, file name, document type, notifications and signature, along with the total number of documents, those With match, and those with No match. Review the list and click Continue to distribute.
Documents that couldn't be matched to a collaborator are marked as Not found and won't be sent. You can click Download errors to review them before confirming.
Upload history
In Personal documents, you'll find a History section where all previous bulk uploads are recorded with their status and details.
IMPORTANT: The value of the field used to identify the collaborator must match exactly what appears in Humand, including capitalization, accents, and order. For example, if the name in Humand is Juan Carlos Rodriguez and in the PDF it appears as Rodriguez, Juan Carlos, the system will not recognize it.
With these steps, each collaborator receives their own document in the right folder, ready to view or sign.
