What is the Pre-boarding Space and How Do I Set It Up?

The Pre-boarding Space is a restricted access area in Humand for new hires before their official start date. During this period, the user only sees a screen with their pending onboarding tasks, a countdown to their start date, and a progress bar. Full access to the platform is manually granted once the configured conditions are met.

  • Configuration is managed from the Admin PanelAppsOnboarding. When you enable pre-boarding, two independent toggles appear:

    Option Description
    Pre-boarding enabled Activates the restricted space for new hires added before their start date who have an assigned onboarding process.
    Mandatory tasks enabled Allows you to mark specific tasks as mandatory. Full access is not granted until these are completed, regardless of the start date. This can only be enabled if pre-boarding is already active.

    Pre-boarding only applies to employees who have an assigned onboarding process. Those without any assigned process get full access right away.

  • With both toggles active, you can mark individual tasks as mandatory within the steps of an onboarding process.

    You can only mark as mandatory those tasks that belong to steps with a trigger before the hiring date (steps that run X days before the hiring date, with X greater than 0). If you change a step's trigger from pre-hiring to post-hiring, the system will show a warning and automatically unmark the mandatory tasks in that step.

  • When a new hire has a future start date and the community has pre-boarding enabled, they see a special screen that shows:

    • Unified task list: all pending pre-boarding tasks from all their active processes, consolidated in a single view.
    • Countdown: how many days are left until their start date.
    • Progress bar: percentage of tasks completed.

    During pre-boarding, the employee cannot access the rest of the platform. They can only navigate this screen, their profile, and log out.

  • Full access is granted when the employee clicks a manual activation button. This button is enabled only when both of the following conditions are met:

    1. The hiring date has been reached (evaluated at 00:00 in the community's timezone).
    2. 100% of mandatory tasks are completed in all their active processes.

    If there are no mandatory tasks set up, the button is enabled as soon as the hiring date arrives. Once activated, full access cannot be reverted from the interface.

    If the employee completes all tasks but their start date hasn't arrived yet, they'll see a message telling them to wait. If their hiring date is changed to a later date, the countdown updates. If they've already activated full access, a date change won't revert it.

  • If you disable these settings, the system automatically applies cascading changes:

    Disable Mandatory tasks All tasks marked as mandatory in the community are automatically unmarked, both in templates and active processes.
    Disable Pre-boarding Mandatory tasks are also disabled, and all employees currently in pre-boarding are immediately granted full access.

During pre-boarding, the employee does not receive notifications (neither push nor email). Links within tasks that point to other Humand modules (courses, forms, knowledge library) are not accessible during this period. People experience surveys can only be answered from the mobile app.
