You can create a special Vacation and Leave policy so employees are entitled to 1 day off per year, tied to their birthday. The policy includes specific rules about when this day can be taken.
-
When creating or editing a policy, go to the Benefit tab and open the Advanced settings section. Turn on the "Use birthday as period start date" toggle.
When you enable this toggle, the policy cycle is automatically set to Annual (January–December) and cannot be changed while it's active. Also, the balance expiration alert is disabled.
-
In Calendar restrictions, turn on the "Limit request period" toggle to define when the day can be requested:
Option Description Same day Can only be requested on the exact birthday. Same week Monday to Sunday of the birthday week. Same month Any day in the birthday month. Custom range X days before and X days after the birthday. If the policy is a birthday policy, this restriction is mandatory and cannot be turned off. If you enable the birthday toggle on an existing policy, "Limit request period" will automatically turn on so you can set the window.
-
When requesting a day under a birthday policy, the calendar will automatically block dates outside the configured window. Employees can only select dates within the allowed period.
If an admin requests the day on behalf of an employee, the request will go through without date restrictions.
- Keep the following scenarios in mind when managing this policy:
- Holidays and blocked days: If the birthday falls on a company-blocked day (like a holiday), the employee loses the benefit for that year.
- New hires: If an employee joins the company after their birthday, the day will be available in their balance but they won't be able to use it until the following year. In these cases, the balance should be adjusted manually.
