How do I edit an employee's employment history?

Employment history records each collaborator's path within the organization: the positions they held, the one they hold today and the ones already scheduled, with their department, direct manager, designated approver and start and end dates. From the collaborator's profile you can add positions, correct loaded data and check who made each change.

To access it, go to admin.humand.co, open Users, open the collaborator's profile and, in the Information tab, find the Job section. Below the current data you will see the Employment history table.

Job section with the Employment history table and the Add position button
  • Each row in the table is a position, with its Start date, End date, Department, Manager and Approver. A tag next to the name shows its status:

    Tag Meaning
Current The collaborator's active position. Its data is what appears at the top of the Job section.
Next A position with a future start date. When that date arrives, it becomes the current position.
No tag A previous position that has already ended.

If the collaborator has no positions loaded yet, the table is empty and the Job section shows that there is no active position.

    1. In the Employment history section, click Add position.
    2. Complete the form fields:
      Field Description
Position name (required) Select the position from your community's list of positions.
Start date (required) It can be a past date, today or a future date. It cannot be earlier than the collaborator's hiring date.
Has end date Check this box to set an End date, for example for a temporary position.
Department, Direct manager and Designated approver Data associated with that position. The form is prefilled with the collaborator's current values; you can change them.
    3. Click Save.
Add position form with position name, start date and department completed

Depending on the start date you choose, the system orders the history automatically:

    Start date What happens
Today or a past date, after the latest position The new position becomes Current and the previous position is closed with an end date on the day before the new start.
A future date The position is created as Next. The current position shows the day before that start as its end date.
A date between two positions already loaded The position is inserted at that point in the history and the end dates of the affected positions are recalculated.

Example: a collaborator holds the position Analista since 10/01/2026 and has an Analista Senior position scheduled for 12/01/2026. If you add Asistente starting on 10/15/2026, the history looks like this:

    • Analista: from 10/01/2026 to 10/14/2026.
    • Asistente (Current): from 10/15/2026 to 11/30/2026.
    • Analista Senior (Next): from 12/01/2026.
  • You can edit any position in the history: previous ones, the current one and upcoming ones.

    1. In the Employment history table, click the three dots to the right of the position.
    2. Select Edit.
Three-dot menu of a position with the Change history and Edit options
    1. Change the data you need: Position name, Start date, End date (by checking Has end date), Department, Direct manager or Designated approver.
    2. Optionally, fill in the Observations field (up to 200 characters) to record the reason for the change.
    3. Click Save.

To edit the current position you can also use the pencil icon in the Job section, which opens the same form.

If you change the Position name, the form shows the warning Did the user change positions, or are you editing an incorrect entry?

Edit position form with the position change or incorrect entry warning

Edit the name only to correct a position that was entered incorrectly. If the collaborator actually changed positions, use Add position: this way the history keeps the previous position with its dates.

When editing dates, keep in mind that:

    • No date can be earlier than the collaborator's hiring date.
    • Positions cannot overlap: a position's end date must be before the start of the next position. If they overlap, the form shows which position conflicts and does not let you save.
  • Each position keeps a record of the changes it had.

    1. Click the three dots to the right of the position.
    2. Select Change history.

At the top you will see the position summary (dates, area and manager) and, below, each change with the previous value crossed out, the new value, the modification date, who made it and a tag with the type of change, for example Position change, Manager change or Department change.

Keeping the employment history up to date lets you know each collaborator's full path and see, at any time, what changed, when and who recorded it.
