From the employee profile, you can edit their work history: add positions, correct dates, and keep the job title, department, manager, and approver information up to date. The process changes depending on whether the employee already has a position listed or not.
-
If the employee doesn't have any positions in their history yet, you'll see the pencil icon at the top of the Work section. From there, you can directly edit:
- Department
- Direct manager
- Approver
-
When adding a position for the first time, fill in:
- Job title
- Start date
The system will automatically use the Department, Direct manager, and Approver information that was already entered. You can update these at the same time if needed.
-
Once the employee has at least one position saved, the pencil icon at the top disappears. All edits are made from the Work history table:
- Find the position you want to edit.
- Click the three dots to the right of that row.
- Select Edit.
For previous positions, you can edit both the start and end dates. For the current position, you can only edit the start date (editing the end date for the current position will be available soon, along with future positions).
The system does not allow you to leave an employee without an active position: there must always be a current position in the history.
Why does it work this way? To ensure information traceability: once there is an active position, any changes to the manager, department, or job title are formally recorded in the employee's history.
