How do I create and assign a shift template?

A shift template is a reusable sequence of shifts and rest days (for example: 4x2, 6x1, morning/afternoon). Instead of entering each shift manually, you can set up the sequence once and assign it to one or more team members in a single step.

  • Go to app.humand.coWork ShiftsShift RepositoryShift Templates tab → + Create Template. When creating or editing a template, you define:

    • Name (required) and Description (optional).
    • Cycle days: for each day, you can assign an existing shift from the repository, create a new one on the spot, or mark it as a Rest Day. A single day can have more than one shift (for example, split morning + afternoon shifts).
    • Copy day 1 to all: copies the setup from the first day to the rest of the cycle in one step. Useful for templates with a uniform pattern.
    • You can change the order of the days by dragging the card with the grip icon (drag and drop).

    A Summary panel shows the cycle length, number of shifts, rest days, and total hours in real time.

    The system checks for overlapping shifts: you can't save a day with two shifts that overlap in time.

  • From Work Shifts+ button → Assign Template, or from the repository. The form asks for:

    • Team members: one or several at the same time.
    • Start date: the day the cycle begins (day 1 of the template).
    • Template: search for available templates. You can also create a new template without leaving the flow.
    • Repeat template: if enabled, the template is automatically reassigned at the end of each cycle. You can set when to stop repeating: Never, After X times, or On a specific date.
    • Include holidays: if turned off (default), shifts won't be assigned on days marked as holidays. If you turn it on, shifts will be assigned anyway.

    If any shift in the template overlaps with an existing shift for the team member, the assignment is blocked with the error "The template has a schedule conflict". Adjust the times before trying again.

  • Once assigned, the template is no longer a single block: each shift appears in the schedule as an individual shift. Those that belong to a recurring template have a recurrence icon. From the context menu of each shift, you can:

    • Remove from schedule: removes just that specific shift, without affecting the repository or the rest of the template.
    • Copy shift.
    • Remove template recurrence: stops the automatic repetition going forward. Past shifts and the current cycle are not changed. If the template was assigned to multiple team members, you can choose whether the change applies only to that person or to everyone.

    The schedule's side filter includes Templates as a filter, so you can quickly see who has a particular template assigned.

  • Action on the template Effect on existing assignments
    Edit (name, shifts, rest days) No changes; edits only apply to new assignments
    Delete Shifts already assigned remain in each team member's schedule
    Remove recurrence Does not affect past shifts or the current cycle; only stops future cycles from being generated

    Deleting a template is irreversible: it can't be recovered. However, shifts that were already assigned to team members will not be removed.
