The Sign Document action in Onboarding allows the administrator to create tasks where the employee signs a standard PDF document, without filling out any additional fields. The embedded signature is a certified electronic signature with asymmetric encryption, and the signed PDF is automatically saved in the employee’s personal documents.

In the Onboarding creation wizard, when adding a new action within a step, select the Sign Document type. A configuration panel will open with the following fields:
Field Description Title Emoji + task name. Responsible Who needs to sign the document. Default: Employee. Description Rich text to explain the task to the employee. Document to sign PDF to upload, up to 100 MB. Destination folder for the document Personal documents folder where the signed PDF will be saved. Attach file Toggle to allow attaching additional files. Task due date Toggle to set a deadline. The task due date is for display purposes only: the employee can still sign the document even after the deadline has passed.
-
Once the PDF is uploaded, the Edit signature position button appears. Clicking it opens the Document to sign editor, with the PDF viewer in the center area and the Configure signature panel on the right sidebar, where you define the field name, format, and whether it’s required.
The signature field is a resizable component (minimum 80×68 px, default size 200×100 px) that you drag and place on the document, exactly where the employee needs to sign. You can only position one signature field per document.
At the top of the editor, there are two buttons: Replace PDF (to change the document) and Save PDF (to save the configured position).
If you replace the PDF, any previously configured signature fields will be removed and you’ll need to position them again.
-
The employee sees the signature task in their Onboarding task list, with the task description and the document to sign.
When they click Sign Document, they see the full PDF with the signature field marked in the position set by the administrator. Tapping that field opens a panel where they can draw their signature by hand.
Once they confirm the signature and submit the document, the signed PDF is automatically saved in the personal documents folder defined by the administrator.
The Sign Document action is the right choice when the document doesn’t require the employee to fill out any additional information. If you need to add editable fields (text, date, checkboxes, etc.) in addition to the signature, see How do I create a PDF form in Onboarding?
