How do I create a Time Off policy from a template?

When creating a new Time Off policy, you can start from a template already configured according to a country's legislation instead of building it from scratch. Templates cover different types of leave (vacation, maternity, paternity, bereavement, among others) with the legal minimum values already loaded, and you can edit any field before saving.

  • From Time Off → Policies, click + New policy. The button opens two options: Create from scratch (today's usual form, unchanged) and Use a template.

  • Selecting Use a template opens a picker with two steps:

    1. Category (region): General, Argentina, Mexico, Colombia, Brazil or Uruguay.
    2. Template: based on the chosen category, the available templates are listed with a short description of the policy.

    If the community has no policy type created in the unit the template requires (Days or Hours), that template appears disabled with a message indicating that a policy type in that unit must be created first.

  • Once you confirm the template, the policy creation form opens with the fields pre-filled: general aspects, regional adaptation, benefit, proration, balance limits, benefit increase, and request and approval. You can edit any field before saving, except the country.

    Keep in mind two automatic behaviors:

    • The policy name is auto-generated by combining the template name with the chosen country (for example, “Vacaciones Argentina”).
    • The coverage adapts automatically when the template corresponds to a leave type other than Vacation (and other than Disability, in the case of Colombia).

    The Policy type field (Days or Hours) is always left empty and must be selected: no template pre-fills it. Only policy types that match the chosen template's time unit are shown as options.

  • Each template includes the values set by the corresponding country's current legislation (leave duration, type of pay, etc.); you can adjust them if your company's collective agreement or internal policy offers better conditions.
    • General: Birthday, Moving day.
    • Argentina: Vacation, Maternity leave, Extended unpaid leave, Breastfeeding breaks, Paternity leave, Marriage leave, Bereavement leave, Exam leave, Non-work-related illness leave, Work accident/occupational illness disability.
    • Mexico: Vacation, Maternity, Paternity, Adoption, Breastfeeding, Occupational risk disability, General illness disability, Leave for a child with cancer.
    • Colombia: Vacation, General illness disability, Maternity leave, Paternity leave, Bereavement leave, Breastfeeding break, Domestic emergency leave, Voting leave, Urgent or specialist medical appointments, School obligations as a guardian, Court or government summons, Bicycle-use day.
    • Brazil: Annual leave (Férias), Maternity leave, Paternity leave, Marriage leave (gala), Bereavement leave, Blood donation leave, Election leave, Sick pay (Auxílio-doença).
    • Uruguay: Vacation, Maternity leave, Paternity leave, Marriage leave, Bereavement leave, Study leave, Blood donation leave, Gynecological exam leave.

Using a template doesn't replace the option to create a policy from scratch: it's an additional shortcut that speeds up policy creation and reduces configuration errors, without taking away your ability to adjust any value to your company's conditions.
