"First to respond" is a new condition available in approval steps within Workflows. When a step has multiple approvers, the first person to respond (approve or reject) determines the outcome of the step, without waiting for the others.
-
In the Workflow Builder, when setting up a Request Approval step, you'll find the Approval Condition field. When you open the dropdown, each option includes a brief description of how it works to help you choose.
- All approvers set up in the step are notified.
- The step is resolved as soon as the first person responds, whether they approve or reject.
- Pending approvals from other approvers are automatically canceled.
- Approvers whose approval was canceled do not receive any additional notification: they only see the status change in the app.
Condition When is it approved? When is it rejected? All must approve Only if all approvers approve If at least one rejects At least one must approve With just one approval Only if everyone rejects First to respond If the first to respond approves If the first to respond rejects - When the step starts: all approvers receive the standard Service Management notification to take action.
- When the step is resolved: the Requester or Agent receives a notification with the final result.
- Approvers whose approval was canceled do not receive a push, notification in the Notification Center, or email. They only see the status change if they log into the app.
